Terms and Conditions for making a booking with Cultural Keys

Please read this page carefully before booking or paying for any event or presentation with Cultural Keys.  By making a booking, you agree to be bound by the terms and conditions set forth below.  If you do not wish to be bound by these terms and conditions, you may not make a booking with Cultural Keys.  If you do not understand these terms and conditions, do not make a booking with Cultural Keys. We may modify this list of Terms and Conditions at any time without individual, specific notice to you, and such modifications shall be effective immediately upon posting of the modified Terms and Conditions on our website.

1) Cultural Keys Sanya Taichi Retreat

1) The price of this program is 9988RMB per person. The price includes 6 nights accommodation (in your own private room) in Sanya, daily breakfast, 5 hours daily training in traditional Chinese taichi and qigong (total 25 hours), welcome presentation, welcome dinner and farewell dinner.
2) The price does not include flights, travel between the airport and hotel (30 minutes by taxi), all other meals, sightseeing or other daily expenses.
3) Accommodation is at the Sheraton Hotel, Yalong Bay, Sanya in an en-suite room with balcony. 
4) Taichi and qigong training will be on the beach in front of the hotel every morning from 6-7, then 9-11, and in the evening 5-7pm. Training will include spirit and breath strengthening qigong, the 12-step Yang Style Taichi form, stretching, and warming cardio exercises.
5) This retreat is suitable for all levels of experience and fitness, but it is especially aimed at beginners and anyone wishing to invigorate their bodies through gentle Chinese exercise.
6) Bookings are confirmed on payment of a 50% deposit, with the final 50% due 7 days before the start of the course. We are unable to offer refunds (except in the situations mentioned in point 7), so if you are unable to attend after your deposit is paid, please find someone to take your place to avoid losing money.
7) If the retreat does not go ahead due to not reaching the minimum number of attendees, government travel restrictions, Covid-19 or hotel closure, full refunds for all monies paid will be made.
8) A minimum of 10 people are required for this retreat to go ahead. If we receive fewer than 10 bookings, the retreat will be cancelled and full refunds on monies paid will be issued.
9) Cultural Keys strongly encourages all participants to take out accident and health insurance before joining this program. Neither Cultural Keys, nor its staff or teachers will be held responsible for any accidents or illness suffered during your participation in this program.
10) Occasionally, discreet photos and videos will be taken during some of our classes. If you do not wish to have photos taken, we respectfully suggest this program is not for you.
11) Check in is available any time after 3pm on Nov 27th. Check out is 12pm on Dec 3rd.
12) All our training activities are planned to be done on the beach. In the case of bad weather, an alternative indoor location will be used.
13) As the beach is public, please be aware we have no way to stop passers by watching or taking photos of you practicing.
14) Due to the current pandemic, while the situation in China is improving daily, it is always possible that things could change suddenly, resulting in the unexpected cancellation of the program. As such, we strongly advise buying plane tickets with cancellation insurance, or at least with a very flexible cancellation option, so as not to lose money if the program does not go ahead. As the situation is out of our control, neither Cultural Keys, nor its staff or partners, will be held responsible for losses incurred due to the cancellation of the program.
15) During any Cultural Keys’ event, it is the individual’s responsibility to ensure they behave in a civilised manner, and to ensure they follow necessary health and safety at the event location, and all pertinent law and order requirements of the People’s Republic of China. Failure to do so may result in the exclusion of said participant from the event, with no refund offered to those who are removed.
16) This program is offered in English only. Please ensure you are able to follow English language instruction before signing up for the program, as we are unable to offer refunds if you are unable to follow the English language instruction.
17) Participants on a Cultural Keys’ Sanya Taichi Retreat under 17 years of age must be accompanied by a responsible parent or guardian who is also training.
18) Participants understand that during this program, class times and activities are scheduled. It is each participant’s responsibility to attend on time. While we will do everything possible to ensure the comfort of all participants, class times and content cannot be changed at participant request.
19) Cultural Keys reserve the right to refuse participants access to or remove them from the program if they are intoxicated, aggressive or offensive.
20) For your safety and wellbeing during the program, please follow all the instructions and advice given by the coach, team leader or Cultural Keys representative. Accident, injury or loss resulting from failure to do so will be the sole responsibility of the participant in question.
21) When Cultural Keys is responsible for ticket booking and purchase, a copy of your passport, with all details fully visible, may be required. In such cases, the passport copy will be destroyed once tickets have been purchased. If you don’t wish to share a copy with Cultural Keys, you take full responsibility for booking all your tickets. Cultural Keys cannot be held responsible for incorrect purchase, and refunds will not be offered to participants who are unable to join events due to issues with incorrect ticket purchase.

22) Due to the logistical requirements of this program, it is currently only available for booking by foreign passport holders. If Chinese citizens would like to book a program for their private group, please contact us for more information. 
23) Payment of the initial fee will be considered acceptance of these Terms and Conditions.

2) Cultural Keys Team Building Events

1) The final price of a team building event is confirmed only upon our issuing of an invoice to you. Until that point, the price quoted should be considered only an indicator of the final price. An issued invoice is only valid for 30 days. After 30 days, if no payment was made, clients should contact Cultural Keys for an updated quotation. All prices are quoted based on clients’ individual requirements and should not be considered standard across all events and services we offer.
2) All details with regards to date of event, contents of event, starting times, ending times, event length and payment details should only be considered finalised once a contract containing said details are signed by both parties.
3) All documents and content supplied to participants during this course or event, including photos, videos, presentations, handouts and topic introductions and research notes, are the sole IP of Cultural Keys, and should not be distributed to parties outside of the event participants without the express consent of Cultural Keys.
4) Cultural Keys shall have complete autonomy in accepting or declining an application for a team building event.
5) As necessary for the completion of the contracted event, Cultural Keys may need to outsource certain portions of said event to third party suppliers, in line with the clients’ requirements agreed to.
6) Cultural Keys will use all commercially viable methods to ensure the completion of the contract and provision of the event according to the agreed event outlined. In the case where Force Majeure prevents Cultural Keys from providing the agreed content, full refund or rebooking shall be offered to the client.
7) For private team building programs, unless otherwise agreed upon in the event contract, the following payment schedule will apply:

    • 50% of total activity fee, plus logistics fee, at contract signing (which will represent confirmation of your booking)
    • 25% of total activity fee 7 days before event date
    • final 25% once the event has finished

8) If the client needs to reschedule an event after payment, a mutually acceptable date can be decided upon by both parties. If the client subsequently needs to cancel the event, the following refund terms will be offered:

    • 30+ days before date of event: all fees refunded, minus logistics fee
    • 13-29 days before event: 50% of fees paid refunded, minus logistics fee
    • 6-12 days before event: 25% of fees paid refunded, minus logistics fee
    • 1-5 days before event: 10% of fees paid refunded, minus logistics fee
    • 24 hours or less before event: no refunds offered 

9) It is the client’s responsibility to ensure all participants behave in a civilised manner, and follow necessary health and safety guidelines at the event location, and all pertinent law and order requirements of the People’s Republic of China. 
10) Cultural Keys advises all clients to ensure participants have the necessary health and accident insurance in place before participating in any of our events. Neither Cultural Keys, nor our teachers, staff, suppliers or venues can be held responsible, except where explicitly required by law, for any accidents, injuries or loss suffered by event participants during the course of our events.
11) Clients should ensure that all participants understand the nature of the activity they are participating in, they understand what the event will involve and that they are happy with said content. Participants should be of suitable temperament and or physical ability for the event, as necessary.
12) Unless otherwise agreed, Cultural Keys’ team building events are presented in English, with translation of Chinese instruction into English, where appropriate. Please ensure all participants are able to follow English language instruction before signing up for the event, as we are unable to offer refunds if your participants are unable to follow English language instruction.
13) Participants on a Cultural Keys team building event under 17 years of age must be accompanied by a responsible parent or guardian who is also participating.
14) Clients understand that during Cultural Keys team building events, times and activities are scheduled. It is each participant’s responsibility to attend on time. While we will do everything possible to ensure the comfort of all participants, class times and content cannot be changed at participant request, unless expressly requested and confirmed.
15) Cultural Keys reserve the right to refuse participants access to or remove them from the event if they are intoxicated, aggressive or offensive.
16) For participants’ safety and wellbeing during the program, clients are asked to ensure all participants follow all the instructions and advice given by the coach, team leader or Cultural Keys representative. Accident, injury or loss resulting from failure to do so will be the sole responsibility of the participant in question.
17) Photos and videos of participants may be taken during the course of the event. If clients do not want photo and video taken, please let us know at the time of booking. Failure to do so will be taken as consent to take photos and videos of participant activities.
18) Payment of the initial fee will be considered acceptance of these Terms and Conditions.

3) Cultural Keys Guided Walks and Talks

1) Cultural Keys’ guided Walks and Talks are offered as both scheduled and private events. Scheduled events are offered to the public as per the listed details. Private events are offered to private groups and subject to the agreed booking conditions.
2) Bookings for public scheduled walks are only confirmed once payment has been received. For private walks, the payment schedule agreed upon by both parties shall be applied.
3) Cultural Keys will use all commercially viable methods to ensure the smooth operation of the walk,  according to the outlined event details. In the case where Force Majeure prevents Cultural Keys from providing the event as outlined, full refunds or rebooking shall be offered to participants.
4) Cultural Keys’ public scheduled walks have a required minimum number of participants. If that minimum number is not met within 72 hours of the event, the event will be cancelled and full refunds offered. 
5) For publicly scheduled walks, once payment has been made, we are unable to offer refunds if the participant is unable to attend and suggest participants find someone to take their place if necessary. For private walks, if the client needs to reschedule an event after payment, a mutually acceptable date can be decided upon by both parties. If the client subsequently needs to cancel the event, the following refund terms will be offered:

    • 30+ days before date of event: all fees refunded, minus logistics fee
    • 13-29 days before event: 50% of fees paid refunded, minus logistics fee
    • 6-12 days before event: 25% of fees paid refunded, minus logistics fee

6) Cultural Keys walks are outdoor events and therefore subject to the weather. In bad weather (light rain, snow, chill etc) our events will go ahead. In the case of extreme bad weather (-10 degrees celsius or below, torrential rain, heavy snow etc) or heavily polluted days as decided by Cultural Keys, an alternative date may be offered for public scheduled events. If participants are unable to attend the rescheduled date, a full refund will be offered. 
7) All information presented during a Cultural Keys’ walk is the sole IP of Cultural Keys (unless otherwise stated). Information and materials, including photos, videos, presentations, handouts and topic introductions and research notes, should not be distributed to parties outside of the event participants without the express consent of Cultural Keys.
8) Cultural Keys, our staff, teachers, guides and third party partners will always make the best possible effort to ensure the safety and wellbeing of our event participants. However, participants in all events organised by Cultural Keys are strongly encouraged to ensure they have appropriate insurance coverage against loss or damage to personal property, personal injury or illness, medical expenses and cancellation expenses. Please note that neither Cultural Keys, nor our staff, teachers, guides and third party partners can accept any liability relating to personal injury or illness, loss or damage to personal equipment, or any other unforeseen events that occur during our events, except where explicitly compelled by the relevant laws and regulations.
9) Any and all information or advice given by Cultural Keys, our staff, teachers, guides and third party partners as part of our services, products and programs is done so in good faith, and participants accept responsibility for all actions they may take and understandings they may derive from such information.
10) All outlines, routes, summaries, itineraries, pricing and schedule information presented in documents, including but not limited to our website, social media accounts, leaflets, presentations and listings from Cultural Keys should be considered provisional until either a contract is signed or payment has been made, whichever is earlier. Where changes need to be made to products or services provided by Cultural Keys after payment has been made, a suitable alternative will be found, or refunds offered.
11) Participants are asked to understand that our walks are held in public areas, and attention from other members of the public is to be expected. This may include having your photo taken, being asked to be in photos, being stared at or spoken to by strangers. These are normal parts of life and culture in China, and participants’ understanding is appreciated. 
12) While Cultural Keys works hard to ensure the comfort and happiness of all our participants, our programs will at times include visits to areas and restaurants where standards may not be the same as those in participants’ home countries. Glass hotel bathrooms, squat toilets, spitting and smoking indoors are examples of situations you may encounter. Again, participants’ understanding in such situations is appreciated. 
13) During any Cultural Keys’ event, it is the individual’s responsibility to ensure their behaviour and attitude is of a civilised, acceptable manner, and to ensure they follow necessary health and safety at the event location, and all pertinent law and order requirements of the People’s Republic of China. Failure to do so may result in the exclusion of said participant from the event, with no refund offered to those who are removed.
14) A Cultural Keys Walk and Talk may involve substantial amounts of walking. While not particularly sterenous, participants are encouraged to ensure they are happy to and capable of walking for several hours, sometimes over uneven paving, uphill or through other challenging urban locales.

Unless otherwise stated (or agreed upon for private events), Cultural Keys’ walk and talk events are held in English, with translation from Chinese  into English, where appropriate. Cultural Keys cannot be held responsible for incorrect purchase, and refunds will not be offered to participants who are unable to join events due to issues with incorrect ticket purchase.
22) Payment of the initial fee will be considered acceptance of these Terms and Conditions.

4) Cultural Keys Fengshui Consultation Services

1) While Cultural Keys’ Feng Shui consultants believe that observation of your natural environment and adjustments made in line with Chinese philosophical principles can lead to a more harmonious, peaceful and happy life, all advice and guidance given by Cultural Keys should be acted upon with general common sense.
2) Neither Cultural Keys, our consultants, staff, facilitators nor third party suppliers can be held responsible for how the Feng Shui advice you are offered is understood or implemented, nor the results arising from said implementation.
3)
In no event will Cultural Keys, our consultants, staff, facilitators nor third party suppliers  be liable for any loss or damage including without limitation, indirect or consequential loss or damage, emotional, physical or financial loss or any loss or damage whatsoever arising out of, or in connection with our services or consultations.
4) Free consultations offered by Cultural Keys should be understood to only be an initial meeting and opportunity for Cultural Keys’ staff and consultants to do an initial assessment on the space or environment you wish Cultural Keys to provide consultation services on. Until a contract is signed and payment is received, Cultural Keys is under no obligation to provide services or consultation on any space whatsoever, and reserves the right to decline any offer of employment of their services at any time, up to the point at which a contract is signed and payment is received.
5) The final price of a Cultural Keys Feng Shui consultation is confirmed only upon our issuing an invoice to you. After 30 days, if no payment was made, clients should contact Cultural Keys for an updated quotation. All prices are quoted based on clients individual requirements and should not be considered standard across all events and services we offer.
6) All details with regards to date of consultation, contents of the finalised report, starting times, ending times, consultation length and payment details should only be considered finalised once a contract containing said details is  signed by both parties.
7) For private consultations, if the client needs to reschedule a consultation after payment, a mutually acceptable date can be decided upon by both parties. If the client subsequently needs to cancel the consultation, the following refund terms will be offered:

    • 30+ days before date of consultation: all fees refunded, minus logistics fee
    • 13-29 days before consultation: 50% of fees paid refunded, minus logistics fee
    • 6-12 days before consultation: 25% of fees paid refunded, minus logistics fee
    • 1-5 days before consultation: 10% of fees paid refunded, minus logistics fee
    • 24 hours or less before consultation: no refunds offered 

8) Cultural Keys considers a Feng Shui consultation and subsequent report to be highly confidential. No part of any consultation or report will be shared with any third party, neither inside nor outside Cultural Keys. Furthermore, neither Cultural Keys nor the client will mention the consultation or report process to anyone outside of either party without the express permission of the other party.
9) Cultural Keys’ Feng Shui consultation services are not a medical, financial or relationship advice service. While it is possible that health, wellbeing, relationship status and financial standing can be improved via the application of suitable Feng Shui recommendations, these recommendations do not amount to professional advice, and cannot be taken as such. If you or anyone in your environment are suffering from serious medical, legal or financial issues, please consult qualified professionals for the best advice on how to effectively treat or handle those situations.
10) While Cultural Keys’ Feng Shui consultants believe in the accuracy and efficacy of the advice given during a Feng Shui consultation, clients understand that Feng Shui is an art, not an empirical science, and therefore any advice given is done so in good faith, with no guarantee of results. Feng Shui is not magic. It works through the observation of environments and adjusting them according to traditional Chinese philosophical principles. Its effectiveness may vary depending on the  intentions of the people using the space. Clients understand there is no ‘miracle process’ or any supernatural aspects involved. 
11) Unless otherwise stated (or agreed upon in advance), Cultural Keys’ Feng Shui Consultations are held in English. Please ensure you are able to understand English language instructions (as generated via our reports) before signing up for the event, as we are unable to offer refunds if you are unable to follow the English language report.
12) Payment of the initial fee will be considered acceptance of these Terms and Conditions.

5) Cultural Keys Chinese Culture Workshops

1) Cultural Keys’ Culture Workshops are offered as both scheduled and private events. Scheduled events are offered to the public as per the listed details. Private events are offered to private groups and subject to the agreed booking conditions.
2) Bookings for public scheduled culture workshops are only confirmed once payment has been received. For private workshops, the payment schedule agreed upon by both parties shall be applied.
3) Cultural Keys will use all commercially viable methods to ensure the smooth operation of a workshop,  according to the outlined event details. In the case where Force Majeure prevents Cultural Keys from providing the event as outlined, full refunds or rebooking shall be offered to participants.
4) Cultural Keys’ scheduled workshops have a required minimum number of participants. If that minimum number is not met within 72 hours of the event, the event will be cancelled and full refunds offered. 
5) All information presented during a Cultural Keys’ workshop is the sole IP of Cultural Keys (unless otherwise stated). Information and materials, including photos, videos, presentations, handouts and topic introductions and research notes, should not be distributed to parties outside of the event participants without the express consent of Cultural Keys.

7) For scheduled workshops held at the CK Culture Centre in Tongzhou, participants are asked to be aware of the following details:

    • Dogs are present at the centre; those allergic may not want to attend.
    • Incense is regularly burned at the centre. For those who are sensitive to intense fragrances, these workshops might not be suitable.
    • The CK Culture Centre has a 24-hour security cameras indoors and out. Participants of events held at the centre understand that for the safety and security of all, they will be filmed during their time at the centre but that the footage will be deleted after 72 hours.

6) Cultural Keys Culture and History Presentations

12) Occasionally, photos and videos of participants may be taken during the course of the presentation. If participants do not want their photo and video taken, please let us explicitly know at the time of booking. Failure to so so will be taken as consent to take photos and videos of participant activities.
13) Payment of the initial fee will be considered acceptance of these Terms and Conditions.

7) Cultural Keys Martial Arts and Lion Dancing Workshops and Programs

1) Cultural Keys’ martial arts and lion dancing workshops and programs are offered as both scheduled and private events. Scheduled events are offered to the public as per the listed details. Private events are offered to private groups and subject to the agreed booking conditions.
2) Bookings for public scheduled martial arts and lion dancing workshops and programs are only confirmed once payment has been received. For private workshops and programs, the payment schedule agreed upon by both parties shall be applied.
3) Cultural Keys will use all commercially viable methods to ensure the smooth operation of martial arts and lion dancing workshops and programs, according to the outlined event details. In the case where Force Majeure prevents Cultural Keys from providing the event as outlined, full refunds or rebooking shall be offered to participants.
4) Cultural Keys scheduled martial arts and lion dancing workshops and programs have a required minimum number of participants. If that minimum number is not met within 72 hours of the event, the event will be cancelled and full refunds offered. 
5) For publicly scheduled martial arts and lion dancing workshops and programs, once payment has been made, we are unable to offer refunds if the participant is unable to attend and suggest participants find someone to take their place if necessary. For private martial arts and lion dancing workshops and programs, if the client needs to reschedule an event after payment, a mutually acceptable date can be decided upon by both parties. If the client subsequently needs to cancel the event, the following refund terms will be offered:

    • 30+ days before date of event: all fees refunded, minus logistics fee
    • 13-29 days before event: 50% of fees paid refunded, minus logistics fee
    • 6-12 days before event: 25% of fees paid refunded, minus logistics fee
    • 1-5 days before event: 10% of fees paid refunded, minus logistics fee
    • 24 hours or less before event: no refunds offered 

6) All information presented during a Cultural Keys’ martial arts and lion dancing workshops and programs is the sole IP of Cultural Keys (unless otherwise stated). Information and materials, including photos, videos, presentations, handouts and topic introductions and research notes, should not be distributed to parties outside of the event participants without the express consent of Cultural Keys.
7) While participants of all experience and physical capability levels are encouraged to join Cultural Keys martial arts and lion dancing workshops and programs, those who join us should be aware that the events can be demanding in terms of physical, mental and coordination efforts required. Cultural Keys strongly suggests participants consult their medical practitioner before taking part in any activity requiring more effort than they are used to.
8) Cultural Keys, our staff, teachers, guides and third party partners will always make the best possible effort to ensure the safety and wellbeing of our event participants. However, participants in all events organised by Cultural Keys are strongly encouraged to ensure they have appropriate insurance coverage against loss or damage to personal property, personal injury or illness, medical expenses and cancellation expenses. Please note that neither Cultural Keys, nor our staff, teachers, guides and third party partners can accept any liability relating to personal injury or illness, loss or damage to personal equipment, or any other unforeseen events that occur during our events, except where explicitly compelled by the relevant laws and regulations.
9) Unless otherwise stated (or agreed upon for private events), Cultural Keys’ martial arts and lion dancing workshops and programs are held in English, with translation from Chinese  into English, where appropriate. Please ensure you (or your participants, for private events) are able to follow English language instruction before signing up for the event, as we are unable to offer refunds if you (or your participants) are unable to follow English language instruction.
10) Participants on Cultural Keys martial arts and lion dancing workshops and programs under 17 years of age must be accompanied by a responsible parent or guardian who is also participating.
11) Participants understand that during Cultural Keys martial arts and lion dancing workshops and programs, times and activities are scheduled. It is each participant’s responsibility to join on time. While we will do everything possible to ensure the comfort of all participants, presentation start times and content cannot be changed at participant request, unless expressly requested and confirmed before hand.
12) Cultural Keys reserve the right to refuse participants access to or remove them from the event if they are intoxicated, aggressive or offensive.
13) For participants’ safety and wellbeing during the workshop, participants are asked to ensure they follow all the instructions given by the Cultural Keys representative. Accident, injury or loss resulting from failure to do so will be the sole responsibility of the participant in question.
14) Photos and videos of participants may be taken during the course of the presentation. If participants do not want their photo and video taken, please let us explicitly know at the time of booking. Failure to so so will be taken as consent to take photos and videos of participant activities.
15) Payment of the initial fee will be considered acceptance of these Terms and Conditions.
